Cobalt Hollow (“we”, “us”) operates the website cobalthollow.com and the related checkout, order tracking and customer service (together, the “Services”). This Privacy Policy describes how we collect, use and disclose your personal information when you visit our site, make a purchase or contact us, and the choices you have. By using the Services you agree to the practices described here.
Personal information we collect
“Personal information” means information that identifies or can reasonably be linked to you. Depending on how you interact with us, we collect:
- Contact details: name, email address, phone number, shipping and billing address.
- Order information: the products you view, add to your cart or buy, order history, returns and refunds, and your communications with us.
- Payment information: our payment processor collects your card details directly on its secure form. We never see or store your full card number; we receive a payment confirmation, the last four digits and the card brand.
- Device and usage information: IP address, browser and device type, pages viewed, referring pages, approximate location derived from your IP address, and interaction data collected through cookies and similar technologies (see below).
- Marketing preferences: whether you subscribed to our emails and how you interact with them (opens, clicks).
Where it comes from
Directly from you (placing an order, filling a form, emailing us); automatically from your device when you browse (cookies, pixels, server logs); and from the service providers who process data on our behalf (payment confirmation from our processor, delivery events from carriers and our fulfillment partner).
How we use it
- To provide the Services: process and deliver your order, send order, shipping and delivery emails, handle returns, refunds and warranty claims, and answer your questions.
- To improve the Services: understand how the site is used, fix problems, and test changes to pages and offers.
- Marketing: with your consent where required, send you emails about products, offers and news, and show you relevant advertising on other sites. You can opt out at any time (see “Your choices”).
- Security and fraud prevention: detect and prevent fraudulent orders, chargebacks and abuse of the Services.
- Legal reasons: comply with applicable law, respond to lawful requests, enforce our Terms and protect our rights and those of our customers.
Cookies, pixels and analytics
We use a small number of first-party cookies to run the cart, remember your market and currency, and keep your session working. We also use analytics and advertising technologies that may set their own cookies or collect device information, which can include Google Analytics and Google Ads conversion measurement, Microsoft Clarity session analytics, Microsoft Advertising, and Meta (Facebook) pixel and Conversions API. These help us measure how visitors find and use the site and whether our advertising works. You can control cookies through your browser settings; disabling them may affect parts of the site such as the cart. Where you are entitled to a choice about non-essential cookies, we honour it.
How we disclose personal information
We share personal information only as needed to run the Services:
- Payment processing: our checkout is operated with Whop Payments, which processes your card payment under its own privacy policy.
- Fulfillment and delivery: our fulfillment partner and the shipping carriers receive your name, address, phone number and order contents to pack and deliver your order, and our tracking provider (17TRACK) receives the tracking number to display delivery status.
- Communications: our email delivery provider (Resend) sends transactional and marketing emails on our behalf.
- Hosting and infrastructure: Vercel and Cloudflare host and secure the site and its images; our order database is hosted on a dedicated server we control.
- Analytics and advertising partners listed in the cookies section above.
- Legal and business transfers: to comply with law, enforce our Terms, protect rights and safety, or in connection with a merger, financing or sale of the business.
We do not sell your personal information for money. Some advertising uses described above may be considered a “sale” or “sharing” under certain US state laws; you can opt out as described below.
Retention
We keep order and payment records for as long as needed to fulfil your order, handle returns and warranty claims, meet tax and accounting obligations and resolve disputes, typically seven years. Marketing data is kept until you unsubscribe or ask us to delete it. Analytics data is retained per the provider’s default settings.
Security
All pages are served over HTTPS. Card data never touches our servers. Access to order data is limited to the people who need it to serve you. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take reasonable measures to protect your information.
Your choices and rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and receive a copy;
- correct inaccurate information;
- delete your information, subject to legal record-keeping requirements;
- opt out of the “sale” or “sharing” of your information for targeted advertising;
- withdraw consent to marketing at any time using the unsubscribe link in any of our emails.
To exercise any of these rights, email support@cobalthollow.com from the address used on your order. We may need to verify your identity first, and we will respond within the time required by applicable law. We will not treat you differently for exercising your rights. If you are in the European Economic Area or the United Kingdom, you also have the right to lodge a complaint with your local data protection authority.
International transfers
We are based in the United States and our service providers may process information in the US and other countries. Where required, we rely on appropriate safeguards such as standard contractual clauses for transfers from the EEA or UK.
Children
The Services are not directed to children under 16 and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.
Text messages
If you opt in to order updates or offers by SMS at checkout, message and data rates may apply. Consent is not a condition of purchase and you can reply STOP at any time to unsubscribe. Phone numbers collected for SMS are never shared with third parties for their own marketing.
Changes to this policy
We may update this policy to reflect changes in our practices or the law. The date at the top shows when it was last revised. Material changes will be highlighted on this page.
